Document Types and Apostille Requirements


Recordable Document (RD)

Recordable documents are original or certified copies that don't require notarization. These must be issued by a Texas city or county clerk’s office or Texas Vital Statistics/Texas Vital Records. We cannot accept recordable documents from outside Texas or from other countries.


Non-Recordable Document (NRD)

Non-recordable documents must be original signed documents, properly notarized by a Texas notary. We cannot accept non-recordable documents notarized outside of Texas. The notary must sign exactly as their name appears on their Texas notary stamp, or the document will be rejected by the Secretary of State.


Notary Requirements

The notary must sign and print their name exactly as it appears on their notary stamp. Any discrepancies will result in rejection by the Texas Secretary of State. The notary must also use the exact name of the document signer as it appears in the legal document.


Example Notary Jurat

The following notary jurat wording is required on non-recordable documents:

Corporation Documents (CD)

Corporation documents do not require notarization. Begin the Texas corporation apostille process by emailing us.


Foreign Document Requirements

Each document can only be apostilled for one foreign country. The Texas Secretary of State will issue only one apostille certificate per document for one specific country.


Document Review Service

We strongly recommend emailing us scanned copies or photos of non-recordable documents before sending them. This allows us to verify that they are correctly prepared and notarized, preventing any delays or rejections.


Fee Information

Our flat fee includes all Texas Secretary of State government filing fees. You do not need to send additional checks or money orders for state fees.


Submission Instructions

For rush filings, we handle document submissions in person. Please do not complete or send Texas Apostille Form 2102 or Form 2103. We use a different form for rush filings.


Special Instructions for Federal Documents

Federal documents (such as Certificates of Naturalization, Trademarks/Patents, and FBI Criminal Background Checks) cannot be apostilled by the Texas Secretary of State. Please visit our federal apostille order page for these documents.


Prepaid Return Shipping

When creating a prepaid return shipping label, you must list your address as the sender. We cannot accept return labels with our company’s name and address.


Processing Times

Our same-day document filing service cutoff is noon CST, Monday to Friday. Documents received after this time will be submitted the next business day. Note that as of May 15, 2024, it may take up to 48 hours for the Texas Secretary of State to issue an apostille certificate.
